Child Care Subsidies and Affordable Child Care

What can you do to help parents find affordable child care without losing business or lowering your rates?

Be aware of the subsidies available to working families in your area. While some child care subsidies are reserved for those receiving social services, in some areas, there are funds set up to help working families. Eligibility and the amount of assistance are generally based upon income and family size. Some families may receive 100% of their child care expense, while others receive a minimal amount.

Consider that a subsidy of just $5.00 per day adds up to $25.00 per week or $1,300.00 per year! While many families on subsidies receive considerably more than $5.00 per day, even $25 per week can be the difference between using your services and settling for another, possibly less desirable, child care arrangement.

How can I find out if subsidies are available in my area?
You can start by contacting your local Child Care Resource & Referral Agency or Department of Social Services.

Have the necessary phone numbers and eligibility requirements available to those seeking care for their children, as well as parents of those already enrolled in your program.
Some people may love your program, but are unable to afford your rates. Making subsidy information available to them will eliminate that gap. In addition, informing parents of these special programs shows your interest and commitment to the welfare of their child and the family as a whole. While you are helping a struggling family to make ends meet, you are conveying to the parent that you are a caring provider.

How do I become a subsidized provider?
In some cases, a parent receiving a child care subsidy initiates the request, listing you as the provider. In other cases, a provider may contact the agency that handles child care subsidies to inquire. In either case, you will be asked to provide information about your service and fees. You may be asked to provide a copy of your child care license.

Call your local Child Care Resource & Referral Agency or Department of Social Services for information about the program requirements for funds available in your area. For many subsidies, you must be a registered or licensed provider to receive subsidy funds.

How are the subsidy funds paid out?
You must check with the agency that handles subsidized child care in your area for their specific policy on payment. The parent may be responsible for a portion of your fee. This amount is generally a set amount according to such factors as size of the family size and total family income.

Be clear on your obligations for such responsibilities as documenting attendance for those children who receive subsidized daycare. Processing claims for child care fees may take a few weeks. Therefore, you may have to wait for the money that is due to you.

Find out the market rates for your area. Be clear on policies for absences and closings. Find out if there are additional funds available if you supply transportation.
